SPJST (Slavonic Benevolent Order of the State of Texas) Lodge 88 Pokrok, located in the Houston Heights for over 110 years, is an organization that sponsors a wide range of family-oriented activities and community service projects.
ABOUT THE JOB
Our growing lodge is currently in need of an experienced Administrative Assistant to oversee ongoing administrative tasks as well as general operations functions to ensure they meet the needs of the organization, employees, members, and guests. The Administrative Assistant will also participate in the development and implementation of new processes in order to achieve the overall efficiency of the Lodge. The ideal candidate will be a self-starter with the ability to work independently with minimal supervision. This position will report to the President of Lodge 88 and take day-to-day direction from the Administrative Manager. This is an on-site position based at our Houston Heights facility.
Key Responsibilities:
Serve as the point of contact for any/all calls coming into the Lodge as well as greet visitors upon arrival
Organize and effectively prioritize daily information flow, communication, and follow-up
Oversee administration of facility rentals, including execution and adherence of contracts, invoicing, payment collection, as well as management of rental/event reservations calendar
Manage all licenses, permitting, and required inspections for the Lodge facility as well as regular maintenance inspections for kitchen, bar, ice machine, fire extinguishers, and air conditioner.
Create and manage calendar of facility maintenance tasks and renewals (i.e. janitorial/landscaping services, facility permits)
Draft, create and/or edit correspondences, reports, presentations, excel spreadsheets, Lodge communications, and various documents
Maintain and organize department files and organizational records especially the management of the Membership Roster, tracking of volunteer hours, dues payment, and sending regular notices for late dues and volunteer hour statuses.
Respond to incoming requests for information on events including weekly Bingo, monthly live music offerings, and regular member events.
Manage inventory and coordinate deliveries of additional facility tools/supplies (including but not limited to: indoor/outdoor supplies, food/beverage for bar area)
Coordinate ballroom preparation for all Lodge events (i.e. dances, rentals, member events, weekly bingos)
Ensure compliance with all safety and security regulations, including environmental and health codes
Manage and secure access of the facilities by members and guests
Coordinate with additional outside organizations as necessary
Additional projects/tasks as directed by the President and Administrative Manager as necessary
Qualifications:
Preferred 5+ years’ experience in administrative/operations management
Working knowledge of all MS Office applications and G Suite tools (docs, sheets, slides, etc).
Experience with bookkeeping strongly preferred
High level of attention to detail
Demonstrated leadership and project management skills
Excellent verbal and written communication skills
Organize and prioritize work with ability to quickly adapt to changes as necessary
Experience managing Squarespace website and any online ticketing systems a plus
Compensation commensurate with skills and experience. This is a part-time, on-site position averaging 20–30 hours per week; schedule may vary based on Lodge events and operational needs.
